Privacy statement for the online store regarding the Theoretical Roman Archaeology Conference at the University of Kent, 11th – 14th April 2019
Purchasing a ticket for the Theoretical Roman Archaeology Conference requires the following personal information: name; email addresses; institution (if applicable); and student number from their affiliated institution if a student. Personal information will be kept until the 14th April, and then deleted from all databases.
This information will be used for four specific aspects of the conference:
Names will be required to buy tickets and to later register on arrival at the conference. Name of institution and student number are also required of students who wish to purchase student tickets to the event. Additionally, email addresses will be kept as a point of contact.
This information will be shared with the TRAC organising committee and the University Finance team. The information provided will be kept until the end of the conference on the 14th of April.
Each participant at the conference is given a name card. The name cards contain the participant’s name and the institution they have stated to be part of.
This information will be shared with the TRAC organising committee and individuals who volunteer to aid in the production of name cards. Volunteers at the registration desk will be able to access lists of participant names and affiliations on the days of the conference. This information will be kept until the end of the conference on the 14th of April.
Dinner ticket purchase
The purchasing of a dinner ticket requires the name of buyers in order for us to make the appropriate reservation, hence we will also retain information related to the choice of food and the list of preferences. Additionally, email addresses will be kept as a point of contact.
This information will be shared with the organising committee and the catering staff. They will be kept up to and during the dinner on the 13th April.
Excursion ticket purchase
Names will be required for those purchasing a ticket i order to book adequate transport and as a safety precaution for headcounts. Additionally, email addresses will be kept as a point of contact.
This information will be shared with the TRAC organising committee as well as trip leaders, and will be kept up until the 14th of April.
